What happens after someone contacts your business?

A practical check of the journey from a website enquiry to a clear next action.

Q-BRIQ / Practical notes

Follow one real request.

Choose a recent enquiry and trace it from the moment it arrived. Where were the details stored? Who took responsibility? What did the customer receive, and what happened next? You do not need a complicated dashboard to start this review. You need to see whether the request has a clear place, an owner and a next action.

Choose the information you need.

A form should collect what helps the next conversation. A service business might need the type of work, location, timing and contact details. An appointment-based business may need a service and a booking route. Avoid collecting information simply because a field is available. Agree how the details will be used and who needs access.

Connect the next action.

A useful workflow can create a record in the chosen tool, assign a follow-up task and prepare a branded acknowledgement. Decide which steps can run automatically and which need a person to review them. An invoice draft or quote request should follow the approvals agreed for the business. Platform compatibility and permissions need checking before a connection is promised.

Plan for the exception.

Test an incomplete request, a duplicate and a failed connection. The person responsible should know where to find the original details and how to continue manually. Agree how the team is notified and who maintains the workflow. A connection that only works in the perfect example is not ready for everyday use.

Use one small improvement first.

Start with the step that creates the most avoidable repetition or uncertainty. Document the existing process, agree the change and test it with representative cases. Then review the result with the team. Useful measures may include response time, incomplete records or repeated manual entries; choose what your business can actually observe.
